Terms of Service for Vector & Voxel LLC
Welcome to Vector & Voxel LLC (“Vector & Voxel,” “we,” “our,” or “us”). By accessing our website, requesting a quote, placing an order, or using our services, you agree to be bound by these Terms of Service.
Services
Vector & Voxel provides custom fabrication, laser engraving, laser cutting, 3D printing, design services, prototyping, and related manufacturing services.
Unless otherwise stated, all products are custom-made to customer specifications.
Quotes and Estimates
All quotes and estimates are provided based on the information available at the time of the request.
Quotes are valid for thirty (30) days unless otherwise specified.
Changes to project scope, materials, dimensions, artwork, quantities, or specifications may result in revised pricing, production timelines, or both.
Customer Responsibilities
Customers are responsible for providing accurate measurements, specifications, artwork, files, and project requirements.
Vector & Voxel is not responsible for errors resulting from inaccurate or incomplete information provided by the customer.
Design Approval
Customers may be provided proofs, renderings, mockups, samples, or digital previews prior to production.
Approval of any proof, design, or mockup constitutes authorization to proceed with production.
Once approval is granted and production has begun, modifications may not be possible and additional charges may apply.
Custom Orders
Due to the custom nature of our products and manufacturing processes, slight variations in color, texture, grain pattern, finish, engraving depth, resin appearance, dimensions, and material characteristics may occur.
Such variations are considered normal and are not considered defects.
Customer-Supplied Materials
Customers who provide their own materials, products, or items for engraving, cutting, modification, or customization acknowledge that manufacturing processes involve inherent risks.
While Vector & Voxel exercises reasonable care, we are not responsible for damage resulting from hidden defects, material inconsistencies, manufacturing flaws, coatings, finishes, adhesives, or unexpected material reactions during production.
No guarantees are made regarding the suitability of customer-supplied materials for customization services.
Intellectual Property
Customers retain ownership of any artwork, logos, designs, files, or content they submit.
By submitting content, customers represent and warrant that they possess all necessary rights, permissions, licenses, and authorizations required for production.
Customers agree to indemnify and hold harmless Vector & Voxel LLC from any claims, damages, liabilities, or expenses arising from the unauthorized use of copyrighted, trademarked, patented, or otherwise protected material.
Payment
Payment terms will be communicated during the ordering process.
Production may not begin until required deposits or payments have been received.
Failure to make payment may result in project delays, cancellation, withholding of completed products, or collection efforts as permitted by law.
Refunds and Cancellations
Because most products are custom-made, approved custom orders are generally non-refundable once production has begun.
Cancellation requests must be submitted before production starts.
If an error is determined to be the result of Vector & Voxel’s workmanship or failure to follow approved specifications, we may, at our discretion, repair, replace, remake, or refund the affected portion of the order.
Shipping and Delivery
Estimated production and delivery dates are provided in good faith but are not guaranteed.
Vector & Voxel is not responsible for delays caused by shipping carriers, weather conditions, supply chain interruptions, equipment failures, acts of nature, or other circumstances beyond our reasonable control.
Risk of loss transfers to the customer upon delivery to the shipping carrier or upon customer pickup.
Portfolio and Marketing Rights
Unless otherwise agreed in writing, Vector & Voxel LLC may photograph, render, or otherwise document completed projects and products for use in portfolios, marketing materials, social media, advertising, trade shows, and website content.
Customer names, addresses, personal information, and proprietary project details will not be disclosed without permission.
Customers who require confidentiality must notify Vector & Voxel in writing before production begins.
Customers may request that their project not be featured in marketing materials by submitting a written request prior to project completion.
Limitation of Liability
To the fullest extent permitted by law, Vector & Voxel LLC shall not be liable for indirect, incidental, consequential, special, exemplary, or punitive damages arising from the use of our products or services.
Vector & Voxel’s total liability for any claim shall not exceed the amount paid by the customer for the specific order giving rise to the claim.
Warranty Disclaimer and Manufacturer Warranties
Vector & Voxel LLC strives to produce high-quality custom products and services. Due to the custom nature of our work and the variety of materials used, we cannot guarantee that products will be suitable for every intended use, environment, or application.
Unless otherwise stated in writing, Vector & Voxel LLC provides no express or implied warranties beyond the specifications approved by the customer prior to production.
Many products submitted for customization, including drinkware, tools, electronics, accessories, and other manufactured goods, may carry warranties provided by their original manufacturer.
Customers acknowledge that engraving, marking, cutting, printing, modification, or customization performed by Vector & Voxel LLC may void, alter, or otherwise affect the original manufacturer’s warranty. This includes, but is not limited to, products manufactured by companies such as YETI, Stanley, and similar brands.
Vector & Voxel LLC is not responsible for the continuation, replacement, denial, or enforcement of any manufacturer warranty after customization has been performed.
Customers are responsible for reviewing any applicable manufacturer warranty terms before requesting customization services.
Except as expressly agreed in writing, all products and services are provided on an “as customized” basis, and Vector & Voxel LLC disclaims all other warranties, whether express or implied, including any implied warranties of merchantability, fitness for a particular purpose, or non-infringement.
Firearms and Regulated Items
Vector & Voxel LLC may, at its sole discretion, accept or decline requests involving firearms, firearm components, knives, tools, or other regulated items.
Customers requesting customization of firearms, serialized components, or regulated items represent and warrant that they are the lawful owner of the item and are legally permitted to possess it under all applicable federal, state, and local laws.
Vector & Voxel LLC provides cosmetic engraving and marking services only. We do not perform gunsmithing, firearm repair, firearm modification, machining that affects firearm function, or alterations to safety mechanisms or operating components.
Vector & Voxel LLC will not alter, remove, obscure, or modify serial numbers, manufacturer markings, or any legally required identification markings.
Customers are solely responsible for ensuring that any requested engraving, text, artwork, symbols, or markings comply with all applicable laws and regulations.
Customization services may affect manufacturer warranties, finishes, coatings, resale value, collectability, or performance. Customers acknowledge and accept these risks before work begins.
Vector & Voxel LLC does not provide legal advice regarding firearm ownership, possession, transfer requirements, serialization requirements, or regulatory compliance.
By submitting a firearm or regulated item for customization, the customer assumes all responsibility for legal ownership, lawful possession, transportation, and compliance with applicable laws.
To the fullest extent permitted by law, Vector & Voxel LLC shall not be liable for any claims, damages, injuries, losses, regulatory violations, or legal disputes arising from the possession, transfer, use, ownership, transportation, or customization of firearms or regulated items.

Shipping Policy for Vector & Voxel LLC
Thank you for choosing Vector & Voxel LLC. Because many of our products are custom-made, production and shipping times may vary depending on the complexity of the project, materials required, order volume, and current workload.
Production Times
Most products are custom-designed, fabricated, engraved, printed, or otherwise manufactured to order.
Estimated production times will be communicated during the quoting and ordering process. Production timelines are estimates only and are not guaranteed.
Production does not begin until all required approvals, artwork, specifications, and payments have been received.
Shipping Methods
Orders may be shipped using carriers such as:
United States Postal Service (USPS)
United Parcel Service (UPS)
Federal Express (FedEx)
Other carriers as determined by Vector & Voxel LLC
Shipping carrier selection may vary based on package size, destination, cost, and service availability.
Local Pickup and Local Delivery
Many projects are fulfilled through local pickup or hand delivery within the Richmond, Virginia area.
Local pickup and delivery options may be available depending on the size, scope, and location of the project.
Customers choosing local pickup will be notified when their order is ready.
Orders not picked up within thirty (30) days of notification may be subject to storage fees or additional arrangements.
Large Signage and Oversized Products
Certain products, including large signs, oversized displays, dimensional lettering, business signage, and other large-format fabricated items, may not be eligible for standard shipping.
Due to size, weight, fragility, installation requirements, or transportation limitations, these products may be available only to local businesses and customers within our service area.
Shipping availability for oversized products will be determined on a case-by-case basis.
Customer-Supplied Items
Customers may provide items for engraving, cutting, marking, customization, fabrication, or other services offered by Vector & Voxel LLC.
Customer-supplied items may be returned through one of the following methods:
Local pickup
Local delivery by arrangement
Shipment at the customer’s expense
Other mutually agreed upon delivery methods
Unless otherwise agreed in writing, customers are responsible for all shipping, insurance, handling, and delivery costs associated with returning customer-supplied items.
For valuable, collectible, sentimental, or irreplaceable items, shipping insurance is strongly recommended.
Risk of loss transfers to the customer when the item is delivered to the shipping carrier.
Vector & Voxel LLC is not responsible for loss, theft, delay, or damage occurring after the item has been transferred to the shipping carrier.
Shipping Rates
Shipping charges are calculated at checkout, included in project estimates, or communicated prior to order approval.
Customers are responsible for providing accurate shipping addresses. Additional charges resulting from incorrect or incomplete addresses may be the responsibility of the customer.
Delivery Estimates
Estimated delivery dates provided by shipping carriers are estimates only.
Vector & Voxel LLC is not responsible for carrier delays caused by:
Weather conditions
Natural disasters
Mechanical failures
Labor disruptions
Customs delays
High-volume shipping periods
Government actions
Other circumstances beyond our reasonable control
Risk of Loss
Ownership and risk of loss transfer to the customer when an order is delivered to the shipping carrier or picked up by the customer.
Vector & Voxel LLC is not responsible for packages lost, delayed, stolen, or damaged after delivery has been confirmed by the shipping carrier.
Lost or Damaged Shipments
If an order arrives damaged, customers should:
Retain all packaging materials.
Take photographs of the packaging and damaged product.
Contact Vector & Voxel LLC within seven (7) days of delivery.
We will work with the shipping carrier to assist with claims when appropriate; however, approval of shipping claims remains at the carrier’s discretion.
International Shipping
International shipping may be available on a case-by-case basis.
Customers are responsible for all customs duties, taxes, import fees, brokerage fees, and compliance with local laws and regulations.

Return and Refund Policy for Vector & Voxel LLC
At Vector & Voxel LLC, many of our products are custom-designed, custom-manufactured, or personalized to customer specifications. Because of this, our return and refund policies differ from those of traditional retail stores.
Custom and Personalized Products
Custom-made, personalized, engraved, printed, fabricated, or otherwise modified products are generally not eligible for return, exchange, or refund once production has begun.
This includes, but is not limited to:
Custom laser engraved products
Personalized gifts
Custom signs
Custom drinkware
3D printed products
Resin printed models

Design services
Prototype development
Customer-supplied items that have been customized
Order Changes and Cancellations
Customers may request changes or cancellations before production begins.
Once production has started, cancellations, refunds, or modifications may not be possible.
Damaged, Defective, or Incorrect Orders
If you receive an item that is damaged, defective, or materially different from the approved design or specifications, please contact us within seven (7) days of receiving your order.
When applicable, Vector & Voxel LLC may choose to:
Repair the item
Replace the item
Remake the item
Issue a partial or full refund
The appropriate resolution will be determined at our sole discretion after reviewing the issue.
Photographs or other documentation may be required before a claim can be evaluated.
Customer Approval Responsibility
Customers are responsible for reviewing and approving proofs, mockups, artwork, spelling, measurements, and specifications prior to production.
Vector & Voxel LLC is not responsible for errors that were present in customer-approved proofs or designs.
Customer-Supplied Items
Customization of customer-supplied items is performed at the customer’s risk.
Due to the nature of engraving, cutting, printing, and fabrication processes, Vector & Voxel LLC cannot guarantee results on customer-supplied materials and does not offer refunds for customization services performed on customer-provided items unless an error was made by Vector & Voxel LLC that deviated from approved specifications.
Shipping Damage
If an order arrives visibly damaged during shipment, customers should retain all packaging materials and contact Vector & Voxel LLC within seven (7) days of delivery.
We will work with the shipping carrier to evaluate and resolve shipping-related claims when applicable.
Non-Returnable Items
The following items are not eligible for return:

Downloadable files

Design Services Policy

Design Services Policy for Vector & Voxel LLC
Vector & Voxel LLC offers design services including, but not limited to, CAD modeling, product development, 3D modeling, laser-ready artwork preparation, logo layout assistance, fabrication drawings, and concept development.
Design Fees
Design fees may be charged separately from manufacturing, fabrication, printing, engraving, or production services.
Unless otherwise agreed in writing, design fees are non-refundable once design work has begun.
Customer Input
Customers are responsible for providing sufficient information, specifications, dimensions, reference materials, and feedback necessary to complete the project.
Project delays caused by incomplete information or delayed feedback may affect delivery timelines.
Revisions
Reasonable revisions may be included as part of the original design agreement.
Additional revisions beyond the agreed scope may incur additional charges.
Ownership of Customer Content
Customers retain ownership of any original content, logos, artwork, or materials they provide.
Ownership of Design Work
Upon full payment of all applicable design fees, customers receive the right to use the final approved design for its intended purpose.
Unless otherwise agreed in writing, Vector & Voxel LLC retains ownership of all preliminary concepts, drafts, unused design variations, production methods, manufacturing files, workflows, and proprietary processes.
Manufacturing Files
Vector & Voxel LLC is not required to provide source files, editable CAD files, vector artwork, manufacturing files, machine files, or design working files unless specifically included in the project agreement.
Portfolio Rights
Unless otherwise agreed in writing, Vector & Voxel LLC may display completed designs and finished products in portfolios, social media, website galleries, marketing materials, and promotional content.
Project Abandonment
Projects with no customer communication or response for sixty (60) days may be considered abandoned. Any future work on the project may require a new quote or additional fees.
